Development Donor Systems Specialist

Department: Development Office  

Supervisor: Assistant Director of the Bishop’s Annual Appeal and Operations

FLSA Status: Non-Exempt

Full-time: 40 hours per week

General Statement of Duties

The Development Donor Systems Specialist supports the Development Office on all projects and operations, including databases and donor record-keeping.  This position reports to the Assistant Director of the Bishop’s Annual Appeal and Operations and is responsible for: database management; gift processing and donation entries into database; online donation entry, reconciliation and monthly donation reports and reconciliation with finance.  Working closely with the Assistant Director, the individual will have knowledge of the Bishop’s Appeal objectives, goals, systems and processes as well as support all other campaigns and appeals directed by the Executive Director of Development & Communications. This position is a key link between the Faithfull’s donation and the Finance Office.

Essential Duties and Responsibilities  

  1. Oversees the management of the receivables and donations given to the Bishop’s Appeal and other fundraising activities and appeals to include:  input of all donations received; electronic file transfers, verification of dollars received at the lock-box to dollars input; financial reconciliation for financial reporting.
  2. Reports using IQ modules to provide up to provide data reports for pledge and payment maintenance.
  3. Assists in managing diocesan-wide family census data, including but not limited to data extracted for purposes of the annual appeal.
  4. Assists within a team to support parish-level data systems and offers training and troubleshooting support from a technological side when needed.
  5. Assist with the implementation of direct mail and individual giving campaigns including preparing donor letters, mailing addresses and running donor and major donor reports.
  6. Works with development staff to assist in all special events.
  7. Supports and participates in the continuous assessment and improvement of the fund development plan, public relations and marketing materials.
  8. Provides customer service to our faithful donors and other constituents by confirming receipt of contributions and fielding inquiries and complaints.
  9. Assist in the production and updates of all communications, letterhead, brochures, displays, and audio-visuals to meet all Bishop Fund needs as needed.
  10. Other duties as assigned.

Education and Experience

Requires a Bachelor’s degree and two to five years of progressively responsible related experience; equivalent combination of education and experience may be acceptable to the hiring authority.  Proficient with excel and strong ability to learn and understand various software programs. Accounting or business degree a plus.

Language Skills

  • Ability to read, analyze, and interpret common technical journals, reports, and legal documents;
  • Possess the ability to respond to inquiries or concerns from parishes and schools;
  • Presentation skills should include the ability to effectively present information to leadership and the faithful;
  • Dissemination and interpretation of personal and confidential information and policies to employees, priests, deacons and parishes.
  • Ability to write and communicate with superior grammar skills.

Mathematical Skills

  • The ability to work with mathematical concepts as they relate to Bishop’s Fund and Finance.
  • Ability to understand accounts receivable processing
  • Proficient and ability to utilize and develop queries and spreadsheets under excel, access and other programs.

Reasoning Ability

  • Possess the ability to define problems, collect data, establish facts, and draw valid conclusions;
  • Adept at interpreting an extensive variety of technical instructions;

Certificates, Licenses, Registrations

  • Valid Vermont Driver’s License; Bachelor’s Degree mandatory.

PT Administrative Assistant / Medical Billing Specialist
